How to use the Summize Salesforce integration

With the Summize embeddable Legal Front Door in Salesforce, you can seamlessly submit and update Create, Review and Ask Legal requests directly in your existing Salesforce account, without having to switch applications.

Introduction

This video shows how our Salesforce integration works to allow users seamlessly use Salesforce on Summize. 

 

The embeddable Legal Front Door eliminates the backlog in requests and speeds up the sales cycle using cleverly embedded workflows that automatically handle the majority of contract requests, without the need for legal intervention.  

How the Summize Salesforce integration works: 

With Summize, your sales team can stay in Salesforce for contract tasks, making the process fast and easy for all stakeholders. 

  • A commercial user clicks on either “Create”, “Review” or “Ask Legal” directly within Salesforce and follows the prompts to complete the process within Salesforce. 
  • Clicking “Create” requests a new contract, “Review” requests a contract review from Legal and “Ask Legal” requests for non-contractual legal help or assistance.  
  • The submitted request is automatically sent to Summize, where the Legal team manage intake and tasks. 
  • The legal team approves or completes a first pass review and redline within Summize 
  • Commercial users can see all information associated with the requested contract directly within Salesforce, including pending and completed tasks, conversations, summaries and more. 

 

 


Submitting a Create Request

Navigate to the object your Summize widget has been configured to be used on (Opportunity or Account), and click the + icon in the top right of the widget:

 

In the pop-up, select 'Create':

 

Select the applicable template:

 

Summize will populate the Request name with the name of the Opportunity/Account, as well as any pre-mapped fields:

 

Once all questions have been responded to, and all fields have a green tick, the Submit Request button will turn blue and can be clicked:

 

Once submitted, the request will be visible in the widget, alongside its status, the date it was submitted and who submitted it:

 

The generated contract, once approved and completed, will also appear in the attachments on the Opportunity:

 

 

 


Submitting a Review Request

Navigate to the object your Summize widget has been configured to be used on (Opportunity or Account), and click the + icon in the top right of the widget:

 

In the pop-up, select 'Review':

 

Summize will populate the Request name with the name of the Opportunity/Account. Select the applicable template:

 

Summize will populate any pre-mapped fields, and once all questions have been responded to, click 'Continue':

 

Upload the master contract (compulsory) as well as any linked contracts and attachments (optional):

 

If the Opportunity/Account has any attachments already uploaded, they will be available in the 'Files from Salesforce' section, otherwise you can upload a file from your device:

 

Once uploaded, click 'Submit Request':

 

Once submitted, the request will be visible in the widget, alongside its status, the date it was submitted and who submitted it:

 

 

 


Submitting an Ask Legal Request

Navigate to the object your Summize widget has been configured to be used on (Opportunity or Account), and click the + icon in the top right of the widget:

 

In the pop-up, select 'Ask Legal':

 

Summize will populate the Request name with the name of the Opportunity/Account. Select the applicable template:

 

Summize will populate any pre-mapped fields, and once all questions have been responded to, as well as any attachments uploaded (optional), click 'Submit Request':

 

Once submitted, the request will be visible in the widget, alongside its status, the date it was submitted and who submitted it:

 

 

 


Updating a Request

Through the Salesforce Summize widget, users can update an existing Request, for example to upload a new version to a Create/Review Request, to update the Request's status, to start or respond to conversations, to complete tasks, etc.

To update a Request, navigate to the Opportunity or Account that the Request was originally submitted, and click on the relevant request name:

 

Through the pop-up, users have access to all the same functionality as the Summize web app. Use the tool panel on the left hand side to navigate the different features, and use the buttons at the top of the pop-up to update the status, download the contract, upload a new version and to send the document for e-signature:

 

If a Request's document is sent for signature and it's associated with a Salesforce Account or Opportunity, the final signed document will automatically be added to the 'Notes and Attachments' area.

 

To update a Request that's not associated with the Account/Opportunity that you are currently viewing, a quicker way to update that request instead of first navigating to the correct object is to use the menu icon that appears in the top right of the widget:

This will allow you to view the Request table, which will list all Requests you have access to. From here, you can navigate to another Request in the same pop-up window.

 

 

 


Using the Summize App in Salesforce

We have recently released a new Salesforce app as part of our Summize package, which gives users the ability to access more Summize features from within Salesforce.

To access the Summize app, first ensure you have upgraded to the latest version of the Summize Salesforce package.

Once upgraded, you can find the Summize app by clicking the app icon in the top left and searching for Summize:

 

Depending on your license type, you'll have access to the Request table, the Repository table, and Request analytics:

 

From within Salesforce, you'll then be able to access those features full screen, in the same way you can in the Summize web app.

Visibility and Access Permissions

If a Salesforce user who does not have a Summize license views the Summize widget on an Opportunity or Account, this is what they will see:

 

Salesforce users will see Requests on a widget only if they have access to those Requests in the Summize web-app:

  • If the Salesforce user has a Summize Power user license, they will be able to see all Requests.
  • If the Salesforce user has a Summize Collaborator user license, they will only be able to see the Requests they submitted, or Requests they've been added to as a collaborator, via an @ mention in a conversation, or via an assigned task.
  • If the Salesforce user has a Summize Requestor user license, they will only be able to see the Requests they submitted.

 

In the Salesforce app, the visibility rules will match that of the Summize web app:

Requests:

  • If the Salesforce user has a Summize Power user license, they will be able to see all Requests.
  • If the Salesforce user has a Summize Collaborator user license, they will only be able to see the Requests they submitted, or Requests they've been added to as a collaborator, via an @ mention in a conversation, or via an assigned task.
  • If the Salesforce user has a Summize Requestor user license, they will only be able to see the Requests they submitted.

Repository:

  • If the Salesforce user has a Summize Power/Collaborator user license, they will be able to see the Repository contracts that the Admin user(s) has granted them access to.
  • If the Salesforce user has a Summize Requestor user license, they won't be able to access the Repository tab.

Request Analytics:

  • If the Salesforce user has a Summize Power user license, they will be able to see the Request Analytics tab.
  • If the Salesforce user has a Summize Collaborator/Requestor user license, they won't be able to access the Request Analytics tab.
