How to submit Create Requests

Instructions for how to submit a Create request via the Web App, Teams or Slack

Overview

Once you have set up and enabled a Create template you and your business users can start submitting Create requests.

Submitting a new Create request can be done from a number of starting points:

  • From the Summize web application.
  • From Microsoft Teams via the Summize Assistant Bot
  • From Slack via the Summize Assistant Bot

 

Submit from the Web App

To submit a new Create request from the Summize web application, follow these simple steps:

  1. Sign in to Summize.
  2. Navigate to Requests.
  3. Click the ‘New request’ button located in the page header (top-right).
  4. A menu with some options will appear.
  5. Click the ‘Create’ option.
  6. A panel with some options will appear.
  7. Enter a friendly name for the request in the first field called ‘Request Name’.
    Note: The name you enter here will become part of the Request ID, we recommend something memorable to help you find this request in the future.
    Note: This field is mandatory and must have a value in order to submit a request.
  8. Select a template from the second option called ‘Select a template’.
  9. Click the ‘Continue’ button located in the page footer of the panel (bottom-left).
  10. You will be taken to the Create submission UI.
  11. Click the ‘Confirm & Continue’ button to confirm you have read the initial guidance notes for this template.
  12. The page will update to show you the questions required to populate your contract and submit your request.
  13. Enter your answer for each of the questions.
  14. Click the ‘Submit Request’ button located in the page header (top-right).
  15. Your request will be submitted and you will be taken to the request view.

    Note: If the request has any mandatory tasks required, the status of your request will be set to ‘Draft’. If there are no mandatory tasks required the status of your request will be set to ‘Completed’ and you will receive your generated contract via email or you can download it from the Request view.

Submit from Microsoft Teams

To submit a new Create request from Microsoft Teams using the Summize Assistant Bot, follow these simple steps:

  1. Go to Microsoft Teams.
  2. Go the Summize Assistant Bot and login.
  3. Select the Create button, or type ‘create’ as a new message and press enter or click send.
  4. A new message card will appear with a dropdown option asking you which type of contract you would like to create.
  5. Select an option from the list of available templates then click ‘Ok’.
  6. If the template you selected has any initial guidance notes configured, these will appear as the next message. Click ‘Create’ once you have read and acknowledged the message.
  7. You will then be asked a series of questions by the Summize Assistant Bot through a chat experience.
  8. Type and send your answer for each question you are asked.
  9. When you have answered all questions, you will be asked to confirm if your answers are correct.
  10. Click ‘Yes’ if you are happy with the answers you provided and want to continue - or click ‘No’ if you need to amend any of your answers.
  11. After clicking ‘Yes’ you will be asked to enter a friendly name for your request.
  12. Type a friendly name for the request as a new message and press enter or click send.
    Note: The name you enter here will become part of the Request ID, we recommend something memorable to help you find this request in the future.
  13. Please wait while the Summize Assistant Bot submits your new request.
  14. Once submitted you will see a new message appear with details of your new Create request with details about what will happen next.

    Note: If there are any mandatory tasks that must be completed before your contract is generated you must wait for these to be completed before receiving your contract. If there are no mandatory tasks required you will receive your contract by email and via the chat after a few moments.

Submit from Slack

To submit a new Create request from Microsoft Teams using the Summize Assistant Bot, follow these simple steps:

  1. Go to Slack.
  2. Go the Summize Assistant Bot and login.
  3. Select the Create button, or type ‘create’ as a new message and press enter or click send.
