Email Notifications

Here's a guide to all of the email notifications that users receive from Summize

Users receive automated email notifications from both Repository-related and Request-related activities. You can see a list of all of these below, alongside when they're sent and to whom.

 

Request Email Notifications

Conversation mention A new comment is left that includes an @mention Each user who is @mentioned in the comment
Conversation activity A new comment is left in a conversation

Anyone already involved in that conversation ( @mentioned users and/or users who have left comments)

Task assigned A task is assigned to a user/group (can be new task or edited task) All users who are assigned to the task (as individual or as part of a group)
Task unassigned A task is edited and a user or group is removed as an assignee All users who are unassigned from the task (as individual or as part of a group)
Task reminder There are x1 or more pending tasks that are due within the next 48 hours Individual users who are assigned to x1 or more pending tasks that are due in the next 48 hours
Request status has changed

The status of a Request is manually changed

The status of a Create or Review Request is automatically changed to ‘Sent for Signature’ or ‘Ready for Signature’ via the e-signature process

A Create Request is submitted and the status is automatically set to ‘Completed’ because there are no required tasks for that template

A Create Request is automatically set to ‘Completed’ after all required tasks are completed in ‘Draft’

The recipients entered into the “Notifications” section of the Create template

New Request submitted A new Request is submitted and the notifications field in the template contains a user/group/outbound email value The user/group/outbound email address in the notifications field in the template settings
You are the owner

A new Request is submitted and the ‘Owner’ field for the template used contains a user

The owner of a Request is manually changed (from the Info tab on the Request or from the Request table)

Custom Termination event reminder A calendar termination event reminder has been configured for a Repository contract The user/group/outbound email address specified in the custom reminder
7 day/monthly calendar reminders for events and termination events

Monthly: Sent on the 1st of the month and lists every calendar event due in the current month.

7 day: Sent 7 days prior to the calendar event date.

Power/Power Pro users who have visibility of the contract

The owner (regardless of licence type)

Request has been signed The contract has been fully processed and can be viewed in the Repository
 Recipients added to the ‘Send notification to’ field during the Sign process
